Urgent matters could include a cleaner calling out for the day and their clients need to be contacted to reschedule/reassign, a client canceling their cleaning for today or tomorrow, or other matters the effect today or tomorrow's schedule. (5-15 min) Send out confirmation texts to Cleaners for jobs for today (specifically for newer cleaners). Non-urgent matters can be addressed now if it requires <2 minutes, otherwise it will be reviewed later this morning. -text- made into a task -voicemail-marked unread -email-marked unread or snooze until appropriate time Daily Tasks 8:15 a.m. - Charge Clients and Review Past 30 days Outstanding (N/A) Review cleaner's cleaning time for each job on the L27 Phone App and compare to the Charge Clients screen to ensure job was completed. *Adjust future durations if necessary to ensure duration accuracy for scheduling purposes. Review previous 30 days to check if there are any outstanding charges to process that have been previously declined. Any outstanding charges that have gone beyond 30 days, send to management. Note: DO NOT cancel charge while charge is processing, it may cause a duplicate charge. Daily Tasks 8:30am - Respond to Hiring Ads (N/A) Daily Tasks 8:45 a.m. - Work the Sales Pipeline AC (Refer to Sales Scripts) When calling back new leads, be sure to mention the new customer discount. They will be more likely to call back. Each lead needs to have 3 points of contact before marking as lost. Read Sales Script or Follow-up Call Script Daily Tasks 9:00 a.m. - Work the Recurring Sales Pipeline AC (Refer to Sales Scripts) Call Yesterday's One-Time Booking Clients Caution: If today is Monday, “yesterday” means the most recent Friday thru Sunday Text happy customers review links. Texting has a higher response rate. Then email them the discount code right after the call to remind them. Read One-Time Bookings Script Daily Tasks 9:15 am- Work the Support Pipeline AC Respond to all outstanding Emails/Calls/Texts (N/A) Whenever an email/call/text is still outstanding after you've addressed it (awaiting reply from client or cleaner, awaiting manager decision, etc), be sure to add it as a task in your Support Pipeline in Active Campaign if it's a call or text snooze it if it's an email Proceed to Day Specific Tasks Note: When a phone call comes in during your daily routine tasks, tend to the call and resume the task after the call. When an email or text comes in, if it's urgent then address it, otherwise add it to the appropriate pipeline. Any sales related matter is typically considered urgent. BATCH 2 Daily Tasks 12:00 pm. - Review Schedule Board For Next 7 Days Review schedule board Review Schedule In L27 for the next 7 days. any unassigned jobs, get them assigned any time off requests with jobs present, reschedule or reassign clients as needed Daily Tasks 12:15 pm. - Book Recurring Appointments Daily Tasks 12:30 pm. - Handle complaints/disputes BATCH 3 Daily Tasks 2:30 pm. - Marketing (Refer to Marketing Plan) Post on Facebook groups and engage with other group posts(10 Minutes) Engage on Nextdoor by answering a couple of threads or comments (5 Minutes). (N/A) Reach out to 5 Property Managers/Apartment Building Managers (20 Minutes) Post on Craigslist (20 Minutes) Reply to Yelp/Thumbtack messages if necessary (5 Minutes) Daily Tasks 3:30 pm. - Put Customer Cards on Hold, Handle any Team Issues, Send Out Team Schedule, and Send out confirmation texts to Cleaners for next day jobs (specifically for newer cleaners).

Wednesday TasksWeekly Task 9:30AM- Connect with other local businesses on alignable. Engage with them for a few minutes. Approach them about partnering up and sending referrals each other’s way. We partnered with a home organizer for spring cleaning and our customers loved that, but there are dozens of such possible partnerships.

Thursday TasksWeekly Task 9:30AM- Reach out to bloggers (mom blogs tend to work best) and offer them free service in exchange for reviews. Give their readers a fat discount too.
